These terms cover your booking with Nepal Holiday Trip. Please read them before you confirm any trek, tour, or adventure with us. By sending your booking confirmation, you agree to everything below.
We have been helping trekkers explore Nepal for years. Our goal is simple. Get you on the trail safely, with no nasty surprises along the way. These terms are here to protect both of us.
1. How to Book with Us
Found the trip you want? Good. Here is what comes next.
- Send us your booking confirmation with the exact trek, tour, or activity you have chosen.
- We will send you a booking form to fill out and sign.
- Pay a minimum advance of 20% of the total trip cost to confirm your spot. The exact amount depends on the trip.
- The remaining balance is due on arrival in Kathmandu, before your trip departs.
For trips to Bhutan and Tibet, full payment is required well in advance. No exceptions. Permits and logistics for those countries require it.

2. Medical and Fitness Requirements
Before you book, be honest with yourself about your fitness level. Some treks here are genuinely hard. The altitude hits fast, the trails get rough, and the weather does what it wants.
When you book, send us your medical background and any dietary needs. If you have a heart condition, altitude sensitivity, or any other health concern, tell us upfront. It lets us plan the right itinerary and pace for you.
Our team will match you with a trip that fits your fitness level and the time you have in Nepal. We want you to finish strong, not turn back halfway.
3. Payment Options
We accept payment by the following methods:
- Cash in US Dollars, Euros, British Pounds Sterling, or other currencies accepted by Nepal Rastra Bank.
- Cheque payable to Nepal Holiday Trip (sent to our office address).
- Credit Card (Visa or Mastercard). A 5% processing fee applies on top of your trip cost.
- Bank transfer directly to our account (details provided at booking).
- WhatsApp: Send your signed payment form to +977 9851132138.
Indian nationals may pay the remaining balance in Indian Rupees after the advance payment is confirmed.
| Note: Paying by credit card adds a 5% surcharge. If you want to avoid this, bank transfer or cash on arrival works just as well. |
4. Cancellation Policy
Plans change. We understand that. But cancellations cost us real money in permits, guide bookings, and logistics already in motion. So we have to charge a fee.
Here is how it works:
- Cancel 2 months or more before departure: 20% cancellation fee.
- Cancel within 2 weeks of departure: 50% cancellation fee.
- No-show or last-minute cancellation: No refund. The full cost is forfeited.
The earlier you tell us, the lower the fee. If you think you might need to postpone, talk to us as soon as possible. We will try to find a solution.

5. If You Cut a Trip Short
Sometimes life happens mid-trek. Illness, family emergencies, or simply not enjoying the experience. We get it.
But if you leave a trip before it ends, Nepal Holiday Trip is not responsible for any refund on unused days. The trip cost stands as paid.
Any extra costs you face after leaving are yours to cover. That includes:
- Your return transport from any point on the trail.
- Any extra nights in Kathmandu or other cities before you fly home.
- Costs for any guides or support staff who accompanied you and now need to return.
Make sure you have good travel insurance before you leave home. It covers exactly these kinds of situations.
6. Situations Beyond Our Control
Nepal is raw and real. The mountains do not follow a schedule. Some things are simply out of our hands.
Weather delays are the most common one. Flights to mountain airstrips like Lukla, Phaplu, Jomsom, Dolpo, Jumla, Simikot, and Tumlingtar can be cancelled without warning. When that happens, we explore alternatives including helicopter transfers, though those come at extra cost.
Other situations we cannot control include:
- Landslides blocking roads or trails.
- Political strikes or government-imposed closures.
- Extreme weather making a route unsafe to continue.
In any of these cases, we will do our best to keep your trip running. That might mean changing the route, adjusting the itinerary, or rescheduling certain days. We will keep you informed every step of the way.
If you choose not to accept a changed itinerary because of conditions beyond our control, we cannot offer a refund. In that case, we will issue you a letter you can use to make a claim through your travel insurance provider.

We will do everything we can to give you an adventure worth talking about for years. If something goes wrong, we fix it. If a route is unsafe, we find a better one. If you need help, we are there.
